Who we are
Nabsie is run by Kalchevo (kalchevo.com), a UK web hosting company. We provide the booking software; each venue is responsible for its own bookings and customers. In data protection terms the venue is the controller of its customers' booking data and we are the processor.
What we collect
Venue accounts: your name, email, phone, venue details, settings and logins for your staff.
Customers booking a table: name, email, phone number, party size, date and time, special requests and any allergy note the customer chooses to give. We also store the IP address of the booking to prevent abuse.
Technical: server logs and a session cookie that keeps you logged in. We do not use advertising trackers.
How we use it
To run the booking, send confirmation, reminder and update emails, alert venue staff, and stop spam. We send an email log (recipient, subject, status) to the venue and platform admin so failed emails can be spotted.
Sharing
Booking details are shared with the venue you booked at. Emails are sent through our mail provider or, if the venue chooses, through their own. Push notifications go through your browser's push service. We do not sell data to anyone.
Keeping and deleting data
Bookings are kept so venues can see history and no show records. Customers can ask the venue to delete their details, and venues can ask us to delete their account and data at any time via the contact page.
Cookies
One session cookie to keep you logged in or to protect forms. Cloudflare Turnstile, if enabled, may set its own cookie to tell humans from bots.
The Nabsie Staff app
The Nabsie Staff app is for venue staff only. It signs in with the same email and password as the website. On the phone it keeps a sign in key (we only store a scrambled copy of it), the phone's name (for example "Samsung Galaxy"), the app version, what the device is used for (front of house, kitchen and so on) and, if you allow notifications, a notification address from Google Firebase Cloud Messaging, which we use only to tell you about new bookings and orders. The app shows booking and guest details for your venue, the same as the website. It does not use your location, contacts, camera, microphone or advertising ID, and it has no adverts or tracking. Data is sent over an encrypted connection. Signing out, or a manager signing the phone out, removes the sign in key and the notification address straight away.
So staff can keep working if the internet or Nabsie is down, the app keeps a copy of your venue's bookings for today and the next 13 days on the phone (guest names, party size, phone numbers, notes and allergy details), plus any changes made while offline until they are sent. This copy is encrypted with a key held in the phone's secure storage, older days are removed automatically, and the whole copy is deleted when the phone signs out or is signed out.
The Nabsie guest app
The Nabsie guest app is free and you do not need an account. When you open it the app makes a random device ID on your phone. We use it to remember the venues you follow, your bookings and orders made in the app, your reward points at each venue, and to send you notifications (a reminder before a booking, your order or table being ready, and offers from venues you follow if that venue allows them). If you allow notifications we also store a notification address from Google Firebase Cloud Messaging. When you book, order or join a queue you give a name, and an email and mobile number if you choose to; the venue sees these, the same as when booking on the website. Payments are taken by Stripe on their own page and we never see your card number.
Location. The app only uses your location if you tap "Venues near me" (once, while the app is open), or if you join a walk-in queue and leave "show how far away I am" switched on. In that case, and only while you are waiting in that queue, the app sends your position about once a minute so the venue can see roughly how far away you are and whether you are still coming. A notification on your phone shows while this is happening, with a Stop sharing button. Sharing stops and the position is deleted as soon as you are seated, leave the queue, or switch it off. The app does not use your location in the background when the queue is finished, and never for advertising.
The app has no adverts, no tracking and does not use your contacts, camera, microphone or advertising ID. Data is sent over an encrypted connection. To erase everything held against your phone (followed venues, points, notification address and the link to your bookings and orders), open the app, go to My and choose "Delete my data", or see how to delete your data. Venues keep their own booking records as described above.
Live chat with our team
When you chat with a person from our team in the help bubble, the conversation is kept so we can follow it up, and it may become a support ticket. While you are typing, our team can see the message before you press send, so we can start on an answer. Only the latest unsent text is kept, it is replaced as you type and removed when you send. Pictures you send are checked and cleaned before anyone sees them.
Deleting your account
See how to delete your account and data.
Your rights
You can ask for a copy of your data, ask us to correct it or delete it. Contact us via the contact page. If you are unhappy with how we handle data you can complain to the ICO.
